Design marketing campaigns and add campaigns with content items in them

Campaign planning is a widget for creating the roadmap of your campaign and filling it with content items.

The widget consists of two main areas.

Display entries where you're the owner, responsible person, or production partner

Sort the entries by a date range

Filter the entries by a brand, responsible person, or an owner

[2] The list of campaigns with their details in the table view.

Contact the administrator to configure:

  • Campaign details on the widget page.

  • Content item dependency and campaign milestone management on the Gantt chart.

  • Day view for the selected time range on the Gantt chart.

    Depending on the selected time range and screen size, weekday names may also be displayed.

Here, you can do the following:

  • Unfold the list of campaign content items with the button. Unfolded campaigns remain in their state, allowing you to navigate through them easily and streamline access to content items when you refresh the page, view content item details, or switch between widgets.

  • Add content items to campaigns. For this, use the + button next to the required campaign name.

    The created content item inherits the Responsible, Country, and except for assignment, Brand metadata values of the campaign it's added to. If multiple brands are assigned to the campaign, the content item inherits the first brand from the list. You can edit the brand values if required.

    A newly created or edited content item is highlighted in the campaign list.

    Once you add content items, the campaign unfolds, and the timeline appears. The campaign begins on the earliest start date of its content items and ends on the latest end date.

    The content items within the campaign are sorted chronologically by start date, with the earliest appearing first. If multiple content items share the same start date, they are further sorted by creation date, with the most recently created appearing first.

To configure the metadata inheritance, contact your administrator.

  • Set dependencies between the campaign content items on the Gantt chart if you're the campaign owner or its responsible person.

  • Set the campaign estimated and actual cost values. The owner, responsible person, production partners, or collaborators can assign the Estimated cost and Actual cost metadata to content items in the Create new popup. The campaign cost is the sum of its content item values. It's automatically recalculated when you:

1. Edit cost values for content items in this campaign.

2. Assign content items to another campaign.

3. Delete content items.

  • Add and track campaign milestones to visualize important points, such as key deadlines, approvals, or launch dates.

  • Resize the width of the CAMPAIGNS column. For this, use the column resize mouse pointer that appears on the cell border when hovering over it.

Dependencies

On the Gantt chart of the Campaign planning widget, you can add content item dependencies within a campaign to visualize their relationships and establish the completion order.

The campaign owner and the responsible person can establish dependencies on the Gantt chart.

You can establish parent-dependent relationships between content items when:

  • The parent has an earlier start date and deadline than the dependent. The dependency is displayed as a yellow dotted array.

  • The parent has an earlier start date and a later deadline than the dependent. The dependency is displayed as a red dotted array.

Several dependencies for the same parent content item aren't supported.

To establish set dependencies between content items, do the following:

  1. Unfold the list of content items in a campaign.

  2. Hover over the parent content item timeline and click on its right.

  3. Drag the dotted arrow to the dependent content item to set this dependency.

To delete the dependency between content items, click the dotted array with the mouse, then select Remove, or press Delete on the keyboard.

The dependency is rebuilt when you change the start or end date of the content item.

The dependency is deleted when:

  • The start date of the dependent content item becomes earlier than that of the parent.

  • The content item is assigned to another campaign.

  • The content item is deleted.

Milestones

Milestones mark key campaign goals, showing the time remaining until each milestone and the period that follows. These visual indicators help you track progress, assess critical content items, and take timely action to keep your campaign on track.

The campaign owner and the responsible person can manage milestones.

You can add milestones to the campaign once it contains content items. For this:

  1. Open more options of the campaign and click Milestone.

  2. In the Manage milestone popup, you can do the following:

  • Add a new milestone to the MILESTONES list with the button.

    The number of milestones you can add is limited to the available dates within the campaign timeframe. The Add new button is locked if no dates remain for creating milestones.

  • Click a milestone header to collapse the metadata fields.

  • Delete a milestone with the button.

  • Enter the milestone name and select a date or time range within the campaign start and end dates.

    You can enter up to 100 characters in the Name field.

3. Click SAVE.

Milestones are added to the campaign timeline in chronological order. The symbols appear on the Gantt chart marking the time range of the added milestone.

To update or remove milestones, click Milestone in the campaign more options and select Manage or Delete all.

You can delete a milestone in the Manage milestones popup, or click the required one on the campaign timeline with the mouse and select Remove.

If you delete all milestones in the Manage milestones popup, you can:

  • Add metadata fields for a new milestone with the + CREATE NEW button.

  • Apply your changes with the SAVE button.

When you change the earliest start or latest end date of the campaign content items, the campaign timeline shortens without extending beyond the milestone dates.

Once you delete content items from the campaign, the campaign timeline matches the milestone time range. Editing this milestone is locked.

Hover over any milestone to view its name and time range.

Entry more options

Depending on the Campaign planning entry ownership, its more options menu can cover different functionality.

To open the entry more options, hover over the required entry and unfold its more options.

Make a copy

Create the content item copy

When you make a copy of a content item, the copy inherits the metadata of the original, the copy workflow is restarted, and limitations are applied to approval and readiness for MLR as follows:
- In the Make a copy popup, select the Include content from all tabs checkbox to duplicate files and links from the LAYOUTS, ASSET COMPONENTS, ATTACHMENTS, and URL LINKS tabs of the original content item to its copy.
- The copied ZIP archive with InDesign package changes its APPROVED status to . You can't mark the ZIP archive with the InDesign package as MLR-ready in the content item copy.
- The copy has the DRAFT status and is displayed in the same campaign as the original content item. The responsibility is assigned to the person copying the content item. You can also find the content item copy in eWizard Library. Available for template-based assignments.
- Copy of the e-Detailer, email, email fragment, module, website, or assignment initiates the epic creation in Jira.

Milestone

Add a milestone to the campaign timeline

Applicable to campaigns with content items.
For campaigns with milestones, two options are available:
Manage—update milestone metadata or delete a milestone. This applies to campaigns with content items.
Delete all—remove all milestones from the campaign timeline. This applies to all campaigns.

Upon clicking Manage milestone, two options become available:
- Edit milestone for campaigns with content items.
- Delete milestone for all campaigns.

Remove the entry from Planner and Library

The option is locked for a campaign with content items. When you delete a content item in Library, it's also removed in Planner. You can restore the removed content items in the Deleted space in Library within the period set by your administrator. The entry is restored only in Library

The availability of options depends on the entry, its ownership, and the permissions of the responsible person, production partners, or collaborators.

To return to the Planner home page, click its logo on the top panel.

Make a copy

When you make a copy of a campaign or content item:

  • A campaign copy duplicates the content item order, dependencies, attachments, links, and metadata of the original.

  • A copied content item in a copied campaign inherits country and language metadata from the campaign copy, and other metadata from the original content item.

  • A copied content item—not as part of a campaign copy—inherits metadata from the original content item.

Use the Make a copy popup to:

  • Customize the copy metadata, except for the brand of the copied campaign.

  • Automatically adjust dates for content items copied within a campaign. Dates are calculated based on the start dates and durations of the original content items, as well as the start date selected for the campaign copy.

  • Select Include content from all tabs to replicate content from the LAYOUTS, ASSET COMPONENTS, ATTACHMENTS, and URL LINKS tabs of the original content item to its copy.

Contact the administrator to configure the following:

  • Metadata editing in the Make a copy popup.

  • The default state of the Include content from all tabs checkbox in the Make a copy popup.

  • How a copied content item in a copied campaign inherits metadata from the campaign copy and original content item.

When a content item is copied, its workflow restarts with the following limitations related to approval and MLR readiness:

  • The copied ZIP archive with InDesign package changes its APPROVED status and is marked as . It can't be marked as MLR-ready in the copied content item.

  • The copied item has the DRAFT status, and responsibility is transferred to the user who copied the content item. The content item copy is also added to eWizard Library. This applies to template-based assignments.

The campaign copy triggers the initiative creation in Jira.

Copy of the e-Detailer, email, email fragment, module, website, or assignment initiates the epic creation in Jira.

If the content items control feature is configured, the availability of the Make a copy option for campaigns and the visibility of content items in the copied campaign depend on metadata set in a user profile.

Entry details

On the Details page, you can edit the entry metadata, apply action buttons and more menu options to comment on the entry, manage the content item, open it in Editor and Viewer.

The Details page contains tabs where you can do the following:

Contact your administrator to configure the placement and display of metadata fields and tabs on the entry Details page.

To go to the entry Details page:

1. Open the Campaign planning widget.

2. Find the required entry in the list.

3. Open its more options menu.

4. Select the View details option from the menu.

You can also go to the Details page right after completing the content item creation. For this, use the OPEN DETAILS button in the status notification.

On the Details page, you can view a full set of metadata fields assigned to the entry with the SHOW MORE button.

The Members metadata field contains checklist task assignees, collaborators added to content items in Library, and custom group users with whom the content item is automatically shared. To view all members, click the button. In the ALL MEMBERS list, use the search box to find the required member. Hover over any member for more information.

Here, you can also do the following:

  • Open the e-Detailer, email, module, banner, website, messenger ad, or template-based task in Viewer with the button.

  • Comment on the entry with the comments button.

  • Apply more options to the entry. For this, unfold the entry more options from the quick access bar.

  • Change the e-Detailer, email, module, banner, website, messenger ad, and template-based task metadata with the button. You can also use this button to edit calculations for e-Detailers and emails.

The availability of options, the and buttons, depends on the entry, its ownership, and the permissions of the responsible person, production partners, or collaborators.

  • Add the content item description with the button in the DESCRIPTION area. To change the content item description, click it in the metadata field or select Edit details in the item more options. You can also resize the height of the description text area with a sizing handle in its bottom-right corner.
