Add files of any format and size, including ZIP archives with InDesign packages to assignments

The LAYOUTS tab is available for assignments. On this tab, you can view the prototype of your content item and attach the required files.

The LAYOUTS tab is configured on demand. Contact the administrator for details.

The PDF file of the content item prototype is automatically added to the LAYOUTS tab of the newly created offline template-based assignment.

Hover over the PDF file to apply the following actions:

To preview or download the content item prototype, click the respective button and wait for the system notification or email confirming that the PDF file has been generated. Then, click the button again. You can also download the PDF file with a link provided in the email.

The PDF file includes the following details for the Planner content item:

Preview and metadata:

  • Name of the content item

  • Update date and time

Scribble elements table:

  • Thumbnail of the object added from Veeva Vault PromoMats or your device

  • Name of the module or asset added from Veeva Vault PromoMats

  • Object type

  • Link to open the object in the target system

The PDF file is automatically updated when you customize the content item in eWizard Editor. To preview or download the updated file, click the respective button and wait for the system to regenerate the PDF file and notify you.

Contact your administrator to configure the automatic adding of the PDF file containing the content item prototype.

On the LAYOUTS tab, you can upload files of any format and size, including ZIP archives with InDesign packages. Additionally, you can send the ZIP archive containing the InDesign package to Veeva Vault as PDF for approval.

You can add files to assignments in the following ways:

  • Drag the selected files from your device to the tab.

  • Click the button. Drag files to the Upload pop-up that appears, or click and select the required files from your device.

To drag several files, hold down the Ctrl key.

After uploading, you can find the last added file highlighted. A ZIP archive with an InDesign package is marked with in the INDD column.

Hover over the required file and click to apply the following actions:

Mark the ZIP archive with the InDesign package as MLR-ready.
For the archive marked as MLR-ready, the Delete action is locked, and the Publish option appears in the assignment more menu

Delete the added file. After deleting the file, all collaborators lose access to it. The file can't be restored

To send the ZIP archive with the InDesign package to the target system for review:

  1. In the archive actions menu, click Mark as MLR-ready.

    The MLR-READY status appears in the STATUS OF MLR column on the LAYOUTS tab.

  2. In the assignment more options, click Publish.

    Proceed with the publishing process.

Once the publication is complete, you can find the resulting PDF document in Veeva Vault PromoMats. Any changes to the document status in Veeva Vault PromoMats trigger a status update for the ZIP archive with the InDesign package and the assignment to which the archive is linked in eWizard Planner. You can manually change the assignment status if required. For this, use the Change status option in the more menu.

The following statuses are available for ZIP archives with InDesign package:

MLR-READY

The ZIP archive with the InDesign package is ready to be published to the target system

IN APPROVAL

The ZIP archive with the InDesign package is published to the target system and ready for the responsible person to start work on it

APPROVED

The reviewer has approved the InDesign package

DECLINED

The reviewer has rejected the InDesign package

If the LAYOUTS tab contains:

  • Several ZIP archives with InDesign packages, you can mark only one of them as MLR-ready and publish it to the target system.

  • A ZIP archive with an InDesign package in the IN APPROVAL or APPROVED status, the Mark as MLR-ready action and the Publish option are locked for all archives with InDesign packages.

Contact your administrator to configure the required statuses of the ZIP archive with the InDesign package.

Once the publication is complete, the assignment owner receives an email notification with the link to the Veeva Vault document.
