With eWizard Centralized tagging
, you can tag complex presentations, documents, and videos uploaded to Veeva Vault PromoMats. The assigned strategic metadata is sent to the repository for analysis. This data aids in tracking content performance, supports informed decision-making, and enhances content value, accessibility, and relevance while optimizing operational efficiency.
Starting the tagging process in Veeva Vault PromoMats triggers the creation of external presentation in eWizard, which is added to My library as follows:
External light presentation for documents in DOC, DOCX, PDF, PPT, and PPTX formats, and videos in MOV, MP4, and AVI formats.
External complex presentation for a CSV file with the outlined e-Detailer structure and separate ZIP archives, each containing an individual e-Detailer slide.
Publish the tagged external light presentation to Veeva Vault PromoMats as interactive to automatically send metadata to the repository for analysis.
The metadata tags of the completely tagged external complex presentation are automatically sent to the repository at the set time.
You can then approve the interactive version of the external media asset in Veeva Vault PromoMats directly from eWizard.
Tagged and approved external media assets are synced with Veeva CRM.
Prerequisites
To make tagging available for external media assets, do the following:
External light presentation
External light presentation
In Veeva Vault PromoMats, create a placeholder for the media asset. Select
CLM Light
in theCLM Type
metadata field while creating the placeholder.
Assigning name, country, language, and product metadata to placeholders in Veeva Vault PromoMats automatically transfers these details to the Centralized tagging and Details pages of the external light presentation as follows:
The placeholder name from Veeva Vault PromoMats is applied to the external light presentation in eWizard.
Key message tagging fields are dynamically updated based on the assigned country metadata.
The product metadata assigned to the placeholder in Veeva Vault PromoMats is mapped directly to the Brand metadata field of the external light presentation in eWizard.
2. Upload the external media asset to the placeholder in Veeva Vault PromoMats.
3. Open the placeholder actions menu in Veeva Vault PromoMats and select Tag
.
External complex presentation
External complex presentation
In Veeva Vault PromoMats, go to the
Multichannel Loader
tab to create a complex presentation-related document.Upload the CSV file with name, country, language, product metadata, and the outlined e-Detailer structure, along with separate ZIP archives, each containing an individual e-Detailer slide and shared resources.
As a result, the interactive version of the presentation-related document is automatically created. The document is assigned metadata from the CSV file and includes linked slide-related documents and shared resources.
Assigning name, country, language, and product metadata to placeholders in Veeva Vault PromoMats automatically transfers these details to the Centralized tagging and Details pages of the external light presentation as follows:
The placeholder name from Veeva Vault PromoMats is applied to the external light presentation in eWizard.
Key message tagging fields are dynamically updated based on the assigned country metadata.

Edit the metadata of the presentation-related document by selecting the
CLM Complex
value in thePresentation Type
metadata field.On the

section, link the related approved PDF document.In the previously created interactive version of the presentation-related document, the related approved PDF document can be linked in the
Linked Documents
section.Open the actions menu of the presentation-related document and select
Tag
.
Applying the Tag
web action in Veeva Vault PromoMats adds the external presentation to My Library.
Don't start tagging until your external media asset is rendered in Veeva Vault PromoMats.
In Veeva Vault PromoMats and eWizard, the Tag
option is available to the placeholder or presentation-related document creator and assigned users.
Tagging in eWizard
You can proceed with the tagging process in eWizard only after meeting all the prerequisites in Veeva Vault PromoMats.
To tag the external presentation:
Log in to your eWizard account.
Once logged in, you are redirected to the
Centralized tagging
page.
Documents
Each page of the document uploaded to Veeva Vault PromoMats appears as a separate structural element in Centralized tagging
.
2. Fill in the tagging fields.
In external light presentations, manually fill in the
Name
fields. This metadata automatically populates the respective fields on theSLIDES
step of Publisher.In external complex presentations, the
Name
fields are prepopulated with values from the presentation-related document in Veeva Vault PromoMats. You can change these names if required. They are transferred to Veeva Vault PromoMats after you approve the external complex presentation in eWizard.
3. Click SAVE

After the tagging process is complete, you can publish the external light presentation to Veeva Vault PromoMats as interactive, either directly from the Centralized tagging
page or from Library.
External presentation in Library
External presentations appear in the following eWizard Library spaces:
In My library for the creator of the placeholder or presentation-related document, after launching the tagging process in Veeva Vault PromoMats and signing in to eWizard.
In Shared with me for assigned users.
You can't create external presentations with the + ADD NEW
button.
The external presentation card displays the content item preview, name, version, and language.
The external presentation minor version is updated when:
Metadata is changed within the
Edit details
popup.The placeholder version changes in Veeva Vault PromoMats.
You can use the Details
and More
buttons on the content item card to perform the following actions:

The availability of options depends on the type of external presentation, its ownership, and your permissions.
Within Library, you can filter external presentations by type: light and complex.
Publish to Veeva Vault interactive
To send the assigned strategic metadata to the repository for analysis, publish your completely tagged external light presentation to Veeva Vault PromoMats as interactive.
You can launch the publication process directly from Centralized tagging
with the PUBLISH (TEST)
button.
Alternatively, click Publish (Test)
in the more menu on the external presentation card in Library or on the Details page.
To publish the external light presentation to Veeva Vault interactive, follow the e-Detailer flow.
On the SLIDES
step, the structural element names are prepopulated with the values from Centralized tagging
. If you change these names in Publisher and launch the tagging process after the publication is complete, Centralized tagging
inherits the updated values.
After successful publication, the external light presentation appears in Veeva Vault PromoMats as separate documents for the presentation and structural elements.

Approve in eWizard
After publishing the tagged external light presentation to Veeva Vault PromoMats as interactive or saving the completely tagged external complex presentation, you can approve external presentations in Veeva Vault PromoMats directly from eWizard.
To start the approval process for the Veeva Vault interactive document, ensure the following is approved:
For the external light presentation—the source placeholder with the uploaded external media asset.
For the external complex presentation—the PDF document linked to the presentation-related document.
To approve the Veeva Vault interactive document in eWizard:
In the more options menu of the external presentation card or on the Details page, click
View to approve
.In the
Confirm Test Outcome
popup, clickAPPROVE & DEPLOY
if the tagged external presentation meets all the requirements.
The content item status changes to APPROVED
.
When the tagged external presentation doesn't meet the requirements, you can cancel the process with the TEST LATER
button in the Confirm Test Outcome
popup.
After the approval process is complete, an email notification is sent to:
The reviewer and the collaborators (if applicable). This email includes a link to the approved interactive document.
The reviewer. If the eWizard external presentation is approved, but the source placeholder or the PDF document associated with the presentation-related document is unapproved, the email provides a link to the unapproved item.
External presentation details
You can go to the Details page of your external presentation in the following ways:
For the external light presentation, click
OPEN IN MY LIBRARY
after its publication to Veeva Vault PromoMats.For the external complex and light presentations, click the
button on their cards in Library.
On the Details page, you can check Veeva Vault document statuses and related metadata in the following status fields:
PDF material status
displays the status of the Veeva Vault placeholder with the uploaded external media or of the PDF document linked to the presentation-related document.Interactive document status
displays the status of the Veeva Vault interactive document.
On the PUBLICATIONS
tab, you can find the INTERACTIVE APPROVAL STATUS
column with the status of the eWizard external presentation.
To sync the statuses of the eWizard external presentation and the related Veeva Vault document, use the button.
The button appears as follows:
In the external light presentation, after you publish it to Veeva Vault PromoMats as interactive.
In the external complex presentation, after launching the tagging process in Veeva Vault PromoMats and signing in to eWizard.
A reviewer can set the following statuses to external presentations:
PENDING APPROVAL
—the external presentation is under review.APPROVED
—the reviewer has approved the external presentation.
Additional scenarios
The PDF document isn't approved in Veeva Vault PromoMats
If the external presentation in eWizard is approved before the PDF document in Veeva Vault PromoMats, click
on the Details page after the PDF document is approved in Veeva Vault PromoMats. This triggers the approval process for the interactive document in eWizard.
Copying the placeholder of the external light presentation and changing its country metadata in Veeva Vault PromoMats
If you change the country metadata from one country to another (non-
Global
/MASTER
) when creating a copy of an external media asset placeholder in Veeva Vault PromoMats, theCentralized tagging
page of the copy inherits the structural element names, brand, indication, and subtherapeutic area values. However, the local key message is cleared.If you change the country metadata from

/MASTER
to other thanGlobal
/MASTER

Changing the name and country, language, product metadata of the placeholder in Veeva Vault PromoMats after it has been tagged in

The name and metadata changes aren't inherited by the related external presentation in eWizard. Manually update the required values with the

After uploading the modified external media, the placeholder version in Veeva Vault PromoMats is updated. Launch the tagging process within the placeholder to update tags in
Centralized tagging
. The tagging fields are:Prepopulated with saved values for structural elements that remain unchanged in the external media.
Empty for added or modified structural elements that correspond to changes in the external media.
Deleted along with the structural elements when corresponding elements are removed from the external media.
After that, save the assigned tags, publish your external light presentation to Veeva Vault PromoMats, and approve it in eWizard.
Uploading an unmodified document with a changed file format to the previously tagged placeholder
After uploading the document, the tags previously saved in
Centralized tagging

In shared external presentations, assigned metadata tags are sent to the repository when:
The final contributor saves the assigned tags in the external complex presentation.
The final contributor publishes the tagged external light presentation to Veeva Vault PromoMats.
