When the PDF version of your item is approved in Veeva Vault PromoMats, you can publish it as interactive. For this:
Choose the
Veeva Vault interactiveoption on the target system selection page and clickNEXT.
2. In the popup that appears, sign in to your account in Veeva Vault PromoMats.
3. Select the environment.
The publishing preparation page opens.
4. Select the required option:
Publish as newdocument to Veeva Vault PromoMats.Update existing documentin Veeva Vault PromoMats. For this, enter the Veeva Vault document number or name in the search field.
The result of searching by document name shows all document types in Veeva Vault PromoMats with the specified name. Contact your administrator to configure this feature.
The following steps depend on the item type you're publishing.
e-Detailers
On the
DETAILSstep, fill in the metadata fields.When the PDF or interactive version of this item exists in Veeva Vault PromoMats, its metadata is inherited for the current publication. You can view the status and number of the Veeva Vault document on the left of the page.
Depending on your eWizard environment configuration, the metadata fields can be interrelated.
You can also apply the following options:
Content zooming: SelectYesorNoto manage pinch-to-zoom gestures for scaling your e-Detailers on target devices in Veeva CRM. To use the default template setting, selectAuto. The option is available on demand. Contact the administrator to customize this option to your requirements.Shared resource: Select the checkbox to archive all common media (background images, logos, etc.) in one directory. It optimizes the size of the resulting Multichannel presentation in Veeva Vault PromoMats. When you demonstrate this presentation to the target audience, all media are displayed as intended since every slide refers to the shared resource directory. With this checkbox cleared, media are stored in every slide directory.Retain Veeva Vault status: Select the checkbox to keep the Veeva Vault document status for slides and shared resources when you're updating a Veeva Vault document. With this box cleared, the status of slides and shared resources in Veeva Vault PromoMats is reset. This option doesn't update the Multichannel presentation status. You can change it manually in Veeva Vault.
Click
NEXT.On the
SLIDESstep, fill in the metadata fields for slides. Values set for one slide are automatically applied to all other slides.Depending on the Publisher configurations, the metadata fields can be prepopulated according to the following priority:
The metadata of modules added to the slides.
The e-Detailer metadata specified on the
DETAILSstep. You can modify these values on the slide level only. The e-Detailer metadata remains unchanged.The metadata of a source Veeva Vault document when applying the Edit in eWizard option to the document copy. Available for the first e-Detailer publication only.
When your e-Detailer contains at least one slide with a module, and you modify the metadata of any slide, the
Overwrite metadatapop-up appears.In this pop-up, you can do the following:
OVERWRITEthe metadata on all slides.CANCELthe metadata overwriting.SKIPslides with the metadata inherited from modules:If you modify the metadata of a slide without a module, the changes are applied to all slides without modules.
If you modify the metadata of a slide with a module, the changes are applied to this slide and all slides without modules. The metadata of other slides with modules remains unchanged.
The
Overwrite metadatapop-up doesn't appear when you publish the e-Detailer without modules and/or the metadata inheritance isn't configured for the target environment.On the
SLIDESstep, you can also find theUsed modulesfield. It contains the approval document number or the object ID of the content module added to the slide. After the e-Detailer publication, the content modules are linked to the required slides in Veeva Vault PromoMats.Moreover, you can contact the administrator to configure the metadata inheritance between certain text input fields. For example, the values entered in the
NameandDescriptionfields automatically inherit each other. When editing one of the fields, both values change dynamically.Click
NEXT.Check the publication summary and click
PUBLISH.
Emails and email fragments
On the
DETAILSstep, fill in the metadata fields.If the PDF or interactive version of this email or email fragment exists in Veeva Vault PromoMats, its metadata is inherited for the current publication. You can modify the metadata if required, including the following fields:
SubjectandTeaser—prepopulated with the email subject and teaser values added in Editor. After publication to Veeva Vault as interactive, the subject value appears in theEmail fieldssection on the document details page in Veeva Vault PromoMats.Approved PDF document—displays the name of the PDF version of this item in Veeva Vault PromoMats. You can select any other PDF document. The resulting interactive document contains the link to the specified PDF in theSupporting documentssection in Veeva Vault PromoMats.Link Interactive Emails—used in email fragments publication to select interactive documents in Veeva Vault PromoMats for linking fragments. You can search for a document by its Veeva Vault document number or name. To unlink documents, clear the respective checkboxes when republishing email fragments.Contact the administrator to specify the field name, the number of VVPM interactive documents a fragment can be linked to, and search options.
Click
NEXT.If your email contains the email fragments, the
FRAGMENTSstep is added. Here, you can:Check the metadata for Veeva Vault fragments.
Fill in the metadata fields for Library fragments. They are published as separate documents to Veeva Vault PromoMats.
Contact your administrator to configure the publication of shared fragments.
Use the
Link Interactive Emailsfield to link email fragments to, or unlink them from, VVPM interactive documents. Library fragments are automatically linked to the emails in which they are first published.Update the email fragment in the target system and restart the MLR approval process. For this, select the
Update fragment in Veeva Vaultcheckbox when republishing the email with modified Library fragments.Manage the resulting document status of a modified Library fragment when republishing a rep-triggered email. The document must be in a status other than
Draft. By default, theRetain Veeva Vault statuscheckbox is cleared to restart the MLR approval process.Contact the administrator to configure the default state and label of the
Retain Veeva Vault statuscheckbox.
The metadata fields of linked fragments are automatically populated as follows:
With values inherited from the related interactive document in Veeva Vault PromoMats.
With values inherited from the related PDF documents in Veeva Vault PromoMats.
If you select a different document in the
Approved PDF Documentfield, its metadata values replace the previous ones. After the email publication, the selected PDF document is linked to the resulting document in Veeva Vault PromoMats.
Contact your administrator to configure metadata inheritance for the required fields on the FRAGMENTS step.
After the email publication, you can find fragments linked to the resulting document in Veeva Vault PromoMats.
3. Check the publication summary and click PUBLISH.
Modules
On the
DETAILSstep, fill in the metadata fields.You can update the existing Veeva Vault document if:
The approval document status is specified in your Publisher settings. You can contact your administrator for details on the document statuses.
The content module object is active. If it's inactive, you'll update only the approval document with this publication.
You can view the current status and number of the Veeva Vault document on the left of the page. To save the approval document status after the module publication, select the
Retain Veeva Vault statuscheckbox. Clear it to reset the approval document status toDraftwith your update.Click
NEXT.When your module contains local assets (images, videos, reusable texts, and claims) that don't exist in Veeva Vault PromoMats and assets from other Veeva Vault environments, the
ASSETSstep is added. Here, you can fill in the editable metadata fields.All assets are categorized into the sections as follows:

Text assets
Note: Contact your administrator to configure the case-insensitive match validation.
When case-insensitive matching is activated for text asset validation, the system identifies and links duplicate text assets during publication, even if their letter casing differs, preventing the creation of unnecessary text assets.
After validation, text assets are categorized into the NOT MODIFIED and NEW
sections with the following
messages:
Linking identical claim—the text asset exactly matches an existing one in Veeva Vault PromoMats, with the same letter case.Linking identical claim but with different letter case—a matching text asset exists in Veeva Vault PromoMats, but only the letter case differs.
If your module contains claims and reusable texts, you can fill in the
Claim type,Country, andProductfields for claims. You can't configure the metadata for claims added with Veeva Vault modules.You can publish your texts as new Veeva Vault assets or update the existing texts in Veeva Vault documents. Contact your administrator to configure which option is selected by default.
When publishing your text asset as new, select the
Inherit linkagecheckbox to keep the references and anchors of the original claim. References added in eWizard are published along with the claim.When updating the existing text, select the
Keep linkagecheckbox to merge the references and anchors with already existing claim references and anchors. References added in eWizard are published along with the claim.
3. Click NEXT.
4. Check the publication summary and click PUBLISH.
After publication, click SHOW IN VEEVA VAULT to open the approval document of your module.
To view the content module object with all related assets, follow the link in the Source Content Module field of the approval document in Veeva Vault PromoMats.
Contact your administrator to configure the linkage of the source content module and source text assets to the copied module after its publication to Veeva Vault PromoMats.
In Veeva Vault PromoMats, you can track the usage of module images and video assets that are also linked to the approval document. Find them in the Relationships → Associated asset section of the published document.
Final steps
After initiating publication, you can track its progress with the percentage indicator on the bottom bar. Click it to view all the steps in detail.
When your publication is successfully complete, use the following controls:
OPEN IN MY LIBRARYto view your item detailsSHOW IN VEEVA VAULTto open your item in Veeva Vault PromoMats as an interactive document
For the failed publication, click ❔ on the SUMMARY step to view the error report. You can copy and email the error details to eWizard Support for assistance.

Metadata fields and checkboxes on the
DETAILSstep.Assigning module metadata to the content module object and/or the approval document in Veeva Vault PromoMats.
Linking the item with its modules in Veeva Vault PromoMats using the approval documents and/or content module objects.
Republication of a rep-triggered email with a related VVPM interactive document in the
Expiredstatus, including:Linking of the required Veeva PDF material on the
DETAILSandFRAGMENTSsteps.Automatic clearing of the
Expiration Datemetadata field on theDETAILSandFRAGMENTSsteps. If configured, the expiration date of the VVPM interactive document matches that of its linked PDF document.Editing of metadata for linked Veeva Vault fragments on the
FRAGMENTSstep.
After these configurations, the resulting VVPM interactive document increases its minor version number by 1.
Including the eWizard e-Detailer or portfolio e-Detailer ID, name, version, and content type in the
Presentation Idvalue. You can view it in theMultichannel Propertiessection on the information page of the resulting VVPM document. This ensures that eachPresentation Idis unique, preventing issues when synchronizing the document between Veeva Vault PromoMats and Veeva CRM.
Emails and email fragments
If your email or email fragment contains a URL link, the UTM parameters can be automatically added to this link in the published content. Ask your administrator to configure this functionality for Publisher in your eWizard environment.
