Add placeholders for Veeva Vault email fragments to eWizard items in Editor

Use the FRAGMENT component to add email fragments from Library, Veeva Vault PromoMats, and SFMC in eWizard Editor. You can create email fragments in eWizard, export them for Veeva Vault PromoMats, or publish them to Veeva Vault as interactive or SFMC.

The reuse and combination of ready-made fragments streamline email creation and customization. You can also send the required Library fragments to Veeva Vault PromoMats along with the email to which they're linked.

Make sure the target system of the rep-triggered email is Veeva Vault PromoMats, and the broadcast email is SFMC. The target system of your email and email fragment must be the same. If not, change it in the Edit details pop-up.

Adding SFMC fragments to the broadcast email is available on demand. Contact the administrator for details.

To add the fragment component to the email:

1. Open the email in Editor or create a new one.

2. Drag FRAGMENT from the Components tab on the elements panel to the item layout.

You can use only one fragment component in the email.

To configure the fragment component, select it on the email layout and go to its Properties tab. Here, you can do the following:

  • Link email fragments from Veeva Vault PromoMats.

  • Set the number of email fragments available for adding to your email from Veeva Vault PromoMats. For this, select the Set fragment limits checkbox and enter a value from the 0–5000 range.

The insertEmailFragment merge tag on the placeholder reminds you what to place there.

The added fragment component serves as a placeholder for the rep-triggered email in Veeva Vault PromoMats. It contains the merge tag with the number of email fragments set in Editor. You can fill the fragment component with content in Veeva Vault PromoMats.

Adding or deleting fragments in eWizard Editor doesn't change the email version. If you add or delete fragments and then republish your email, the version of the related Veeva Vault document remains unchanged.

Fragments upload

To add email fragments from Library and Veeva Vault to a rep-triggered email or from SFMC to a broadcast email:

  1. Select the fragment component on the email layout and go to the Properties tab.

  2. Click BROWSE.

  3. In the Assets pop-up, select the required tab depending on the email type:

  • The LIBRARY and VEEVA VAULT tabs for rep-triggered emails.

On the LIBRARY tab, click the button and select the upload space: Library or Shared with me.

Contact your administrator to add Shared with me to the list of spaces available for selection.

On the VEEVA VAULT tab, log in to your account in Veeva Vault PromoMats, if required.

  • The SFMC tab for broadcast emails.

4. Add one or several email fragments. For this, click on the required email fragment card.

To manage the available email fragments:

Library

  • Use the search field to find the required email fragment.

Veeva Vault

  • Use the metadata filters and search field to find the required email fragment.

  • Click the email fragment card to view its metadata on the DETAILS panel.

  • Launch the email fragment preview in Veeva Vault PromoMats with the button on the fragment card.

SFMC

  • Use filters to find the required email fragment.

    The Target instance field is interrelated with the Business Unit and Folder fields. Once you select the target instance, the other fields are automatically populated. You can change the prepopulated values if required.

  • Click the email fragment card to view its metadata on the DETAILS panel.

You can also send your broadcast email with added SFMC fragments to Veeva Vault as PDF for approval.

5. Click SELECT / ADD.

Email fragments are added to rep-triggered emails as images and to broadcast emails as HTML. However, all fragments appear as images on the email layout and you can't edit them. The fragments are highlighted with blue frames and have a FRAGMENT label in the upper-right corner.

You can preview the added fragments on the email layout in the Editor PREVIEW and EDIT modes. In Viewer, the fragment preview isn't available.

In rep-triggered emails, all added fragments are sorted alphabetically by their names on the Properties tab. Fragments starting with digits have priority over those starting with letters, and uppercase letters have priority over lowercase ones.

Here, you can delete the email fragment with the button.

If you delete the fragment component, it's removed along with email fragments. The Undo action restores the fragment component without email fragments.

Broadcast emails

In SFMC, the resulting email contains merge tags for the added email fragments in Editor. To view these email fragments as images on the email layout, switch to the preview mode in the target system.

Additional scenarios

  • Copying the email with the fragments linked from Veeva Vault PromoMats

When you make a copy of the email with the fragments linked from Veeva Vault PromoMats, the copy preserves the fragment component but has no fragments from Veeva Vault PromoMats linked to it.

  • Uploading the email with the fragments linked from Veeva Vault PromoMats

When you download source of the email with the Veeva Vault fragments linked and then upload this ZIP archive back to Library, the new email contains the fragment component without any fragments linked from Veeva Vault PromoMats.

  • Publishing the email with Veeva Vault fragments from different instances

When you publish an email that includes fragments linked:

o From several instances of Veeva Vault PromoMats, only fragments from the instance you're currently logged in to are published to Veeva Vault PromoMats.

o From several SFMC instances or business units, only fragments from the instance and business unit you publish to are added to the email in SFMC.

  • Publishing the shared email with unshared Library fragments

Only previously published fragments are sent to Veeva Vault PromoMats. You can check their metadata on the FRAGMENTS step.

  • Deleting email fragments in Veeva Vault PromoMats

When the email fragment is deleted in Veeva Vault PromoMats, it's automatically unlinked in eWizard Editor.
