Link approved Veeva Vault claims to confirm statements in your content items

In Editor, you can link Veeva Vault claims to the text fragments within eWizard content items. Each claim contains a statement approved for use in a particular product campaign.

To provide proof for the statement validity, claims include reference documents. After claim linking, the document citations automatically become references in eWizard items.

Linking claims to text fragments

Using claims streamlines the creation of promotional content and reduces production time. Pre-approved claims ensure the consistent use of current, relevant text across all content items, complying with regulatory guidelines and industry standards. They also facilitate MLR approval of documents and prevent redundant checks of already approved text fragments.

Link claims to text fragments of any eWizard content item on the Properties and Veeva text assets tabs. Additionally, on the Properties tab, select the main statement variation and apply it to the text fragment.

Linking claims to text fragments on the Properties tab is configured on demand. Contact the administrator for details.

Properties tab

To link claims to text fragments on the Properties tab:

1. Add the text component to the content item layout and enter the text that matches the required claim statement.

Alternatively, you can upload text assets from Veeva Vault PromoMats.

2. Go to the Properties tab and click BROWSE.

3. In the Assets popup that appears, select the VEEVA VAULT tab:

  • Log in to your Veeva Vault account, if required.

  • Use the metadata filters on the left to find the necessary text asset.

    Text assets are automatically filtered by country metadata prepopulated with the value inherited from the content item.

  • Search for the required text asset by its main match text.

  • Open the text asset details in Veeva Vault PromoMats withon its card.

4. Select the claim.

On the DETAILS panel, you can view its metadata, the match text, and up to 5 match text variations.

5. Click ADD.

6. In the claim details popup that appears, you can do the following:

  • View the claim name, document type in Veeva Vault PromoMats, main match text, match text variations, references, footnotes, and guidelines. The main match text is selected by default.

  • Open the claim details in Veeva Vault PromoMats with the name link.

  • Select a match text variation to display on the content item layout.

7. Click APPLY.

As a result, the claim is linked to the text fragment. You can view and select the main text variation on the Properties tab and in the LINKED section of the Veeva text assets tab. To open the claim details popup, click the button.

You can also view the linked claim and its details in the LINKED section of the Veeva text assets tab.

The selected match text, footnotes, and reference indicators appear on the content item layout. The citations of claim reference documents are automatically added to the list of references.

e-Detailers

Footnotes from the claim card are automatically added to the Footnotes popup.

You can't unlink the claim.

Match text editing on the content item layout isn't supported, and formatting options are limited. Locked options are inactive.

Veeva text assets tab

To link claims to text fragments on the Veeva text assets tab:

  1. Add the text component to the content item layout and enter the text that matches the required claim statement.

  2. Click on the customization panel.

  3. Log in to your Veeva Vault account, if required.

  4. Click LINK CLAIMS.

Once the system finds a match between your module text and Veeva Vault claims, these claims appear in the NOT LINKED section of the Veeva text assets tab.

For successful claim identification, the text fragment on the module layout must fully match the claim statement.

5. Click on the required claim card.

The selected claim card appears in the LINKED section. The citations of claim reference documents are automatically added to the list of references. The reference indicators appear next to the matching text fragments on the item layout.

The claim card features the selected match text and the details button. Click the button to change the match text variation displayed on the content item layout within the claim details popup.

When linking claims to text fragments on the Properties tab is configured, claim cards appear in the LINKED section of the Veeva text assets tab.

On the Veeva text assets tab, you can't select a different match text or unlink the claim added on the Properties tab.

If the claim is linked to several text fragments, the change of match text variations is locked.

To view the match text on the content item layout, select the linked claim on the Veeva text assets tab. As a result, the text component with the linked claim is highlighted with a solid outline, and you are navigated as follows:

  • To the corresponding layout section.

  • To the text component placed higher if the claim is linked to several text fragments.

Alternatively, selecting any text component with a linked claim highlights the claim card on the tab.

After the module publication, you can find the linked claims on the details page of the source content module in Veeva Vault PromoMats.

Additional scenarios

  • Linking the same claim to several text fragments

If the same claim is linked to several text fragments within the Veeva text assets tab, you can select different match texts for each fragment on the Properties tab. For this:

  1. Select the required text fragment with the linked claim.

  2. Go to the Properties tab.

  3. Select a match text variation to display on the content item layout.

The claim card on the Veeva text assets tab displays the match text selected during the initial linking.

If several claims are linked to the same text fragment within the Properties and Veeva text assets tabs, the selection of match texts is locked for claims linked within the Veeva text assets tab.

  • Translating match texts

eWizard Editor doesn't support manual translation for match texts. You can export the content item texts to an XLIFF file for localization or auto translate them. As a result, claims are unlinked—they disappear from the Properties tab and transfer to the NOT LINKED section of the Veeva text assets tab. After translation, you can edit match texts on the content item layout.

  • Replacing the linked claim

You can replace the claim linked to the text fragment within the Properties tab. The newly linked claim:

o Replaces the previous one on the Properties tab.

o Appears in the LINKED section on the Veeva text assets tab. The replaced claim transfers to the NOT LINKED section. It no longer appears on the tab after you reload the claims list or reopen the content item.

Linking claims with Veeva Vault modules

To link claims to the text fragments within a Veeva Vault module:

1. Open an item in Editor.

2. Add a Veeva Vault module with linked claims.

As a result, you can find the claims linked to the module-matching text on the Veeva text assets tab. The citations of claim reference documents are automatically added to the item References pop-up. The reference indicators appear next to the matching text fragments on the item layout.

To link claims to the text fragments outside Veeva Vault modules:

1. Drag the text component to the item layout.

2. Enter the text fragment with the matching text.

3. Select the required claims on the Veeva text assets tab.

Depending on the item type, you can check the added references in the References pop-up or REFERENCES component previously placed on the layout.

Linking claims as reusable texts

You can add claims as reusable texts in the following ways:

  • Link a reusable text on the Claims tab.

  • Add a Veeva Vault module with claims in the Assets pop-up. You can't unlink Veeva Vault module claims in Editor.

  • Link a claim to the text component added to a Veeva Vault module.

  • Upload reusable texts in the text component.

The selected reusable text card appears in the LINKED section. The citations of reusable text reference documents are automatically added to the list of references. The reference indicators appear next to the matching text fragments on the item layout.

Contact your administrator to configure linking claims as reusable texts.

As a result, you can find all claims linked as reusable texts on the Veeva text assets tab.

Claim cards

A claim card features the following:

[2]: Match text used for the claim identification in Veeva Vault

[3]: Reference source

Hover over the matching text and reference source for more information.

The icon on the claim card notifies you of changes to the claim text linked with a Veeva Vault module.

You can filter claims by product, country, status, or other metadata. For this:

1. Click on the Veeva text assets tab.

2. Select the required values in the filter fields.

3. Click APPLY.

To customize the list of filters, contact your administrator.

To refresh claim cards, click on the Veeva text assets tab.

To view claim details, click on the card.

In the pop-up that appears, you can:

  • View the claim type: claim or reusable text.

  • View the match text or its variation.

  • View the claim references grouped by their document types.

  • Open the reference link in a new tab.

To unlink the selected claim, click x on its card. The card of the deselected claim goes to the NOT LINKED section. The claim ID is removed from the layout.

Claims linked with Veeva Vault modules can't be unlinked.

Click in the NOT LINKED section to link the claim back.
