Launch the approval process of content items in Veeva Vault PromoMats and their sync with Veeva CRM from eWizard Planner.

You can approve e-Detailers, rep-triggered emails, and email fragments in Veeva Vault PromoMats directly from eWizard Planner and sync them with Veeva CRM. Any status change of the interactive document in Veeva Vault PromoMats automatically updates the status of the related content item in Planner.

You can't approve a rep-triggered email with linked email fragments.

The feature is available on demand. It can be configured according to your requirements. Contact the administrator for details.

To approve the Veeva Vault interactive document in Planner:

  1. Publish your content item to Veeva Vault PromoMats as interactive.

  2. Change the content item status to the one set for approval according to your company workflow. For example, TEST.

  3. In the more options menu, click Approve.

The option is available for the content item owner and responsible person.

4. In the Approve interactive document popup, select an expiration date. Within the approval process, this date is either assigned to the related document in Veeva Vault PromoMats or updates the initial expiration date.

e-Detailers

In Veeva Vault PromoMats, the expiration date is modified in:

  • The e-Detailer-related document.

  • Slide-related documents.

  • Documents added within the Related Shared Resource section on the RELATIONSHIPS tab.

If the interactive document in Veeva Vault PromoMats is assigned an expiration date, the value is prepopulated in the Expiration date metadata field of the popup. You can change the prepopulated value if required.

e-Detailers

In the Approve interactive document popup, the Expiration date metadata field is prepopulated with the value, if any, from the e-Detailer-related document in Veeva Vault PromoMats.

5. Click APPROVE.

The content item status changes to IN APPROVAL.

Approving the interactive document in Veeva Vault PromoMats triggers a status change to APPROVED for the source content item in Planner.

The following statuses are automatically assigned to content items and can't be manually selected:

The content item is published and is undergoing the approval process in Veeva Vault PromoMats

APPROVED

The content item is approved in Veeva Vault PromoMats

APPROVAL FAILED

The content item failed the approval process in Veeva Vault PromoMats due to workflow or technical issues

EXPIRED

The content item is no longer valid having passed its expiration date

After approval, the user who launched the approval process and the collaborators receive email notifications with the link to the Details page of the content item.

Once the content item is approved, the Approve option in the more menu is locked. Hovering over the option displays a message confirming that the content item is approved.

Additional scenarios

  • Restarting the workflow for the approved content item

    • If you restart the content item workflow and click Approve in the more options menu, the Approve interactive document popup confirms that the content item is approved.

    • If you republish the content item to Veeva Vault PromoMats as interactive, you can approve it again in Planner.

  • Approving the outdated content item

When you approve the edited content item after it has been published to Veeva Vault interactive, the Approve interactive document popup informs you about the version mismatch between the current Planner content item and the document in Veeva Vault PromoMats. Republish the latest version of the content item to Veeva Vault interactive and test it in Veeva CRM to approve its source item in eWizard Planner.
